Event Booking Terms and Conditions
Making A Booking
In order to confirm an event with Rojo&Co, an order form containing the costs and general details of the event should be completed by you or over the phone when ordered by phone. The order form is considered to be a contract, by completing the order Rojo&Co to book the event or instructing us to complete the order form you are instructing Rojo&Co to book the activity on your behalf.
In the case of telephone bookings we will read out the order form to you and your payment signifies the order form being made. The contract is complete when we return the booking confirmation to you.
Restrictions
You will be notified of any restrictions before the event, these may include sex, age, height, weight or health restrictions. You may also be notified of the suitability of an event. More information is available on request.
Payment
After an order form has been completed, we will send you or a relevant person the invoice for the activity.
If you have provided payment details over the phone or by another method or if you make the payment online the payment we will be taken and a receipt will be sent to you.
Rojo&Co payment terms
If you are booking 2 or more months before the date of the activity, 20% (+ VAT) deposit is required to confirm the event and the remaining 80% + VAT final payment is to be made at least 60 days before the event date. If you do not pay the final payment, the event will be cancelled.
The deposit is due at the time of booking.
If you are booking less than 60 days before the date of the event 100% of the cost of the activity is required to confirm the event. Please note that for some bookings, full payment is required in order to secure the booking, regardless of how far ahead the activity is booked.
Vouchers
On purchasing a service through Rojo&Co, you will receive an electronic voucher or receipt with an individual order redemption code which you will need to quote when booking a date for your service or redeeming you voucher on the day.
Vouchers are redeemable with the, or one of the, stated suppliers for a particular service only and not for cash. You will need to quote the reference number on the voucher when you phone to make your booking with the service supplier.
Vouchers are valid for 12 months only, unless otherwise stated or for a particular date or period only.
Subject to the suppliers terms and conditions, any price increase and an admin fee of £20, a time extension to vouchers may be possible. Please contact our customer care team for more information.
There is a 14 day cooling off period for voucher purchases.
Cancellation Terms
If you wish to cancel or change any details of an activity, you must state your request in writing to a member of Rojo&Co staff.
When a booking is made for a specific date we will not be able to refund any money for a cancellation.
However, if possible given the particular circumstances of the cancellation, we will attempt to re-arrange the activity for another date. There may be additional charges associated with re-arrangement.
Please note that because the services we offer are leisure services booked for a certain date, we are not obliged by law to offer a cooling off period.
Delivery
Our suppliers are responsible for delivering all agreed aspects of the event and you should deal with them if you have and special requirements that don’t require a change in the cost of the event.
Venues, Transport and other arrangements.
Rojo&Co events have two formats, mobile where the supplier travels to you and fixed where you travel to the supplier
You are responsible for organising all other elements of your event, that may include venues, catering, event management and any other necessary event service if booking a mobile event or transport if booking a fixed event.
In some cases we are able to recommend companies to organise transport, venues and catering as separate services from the events, in these cases you contract with a third party and Rojo&Co is not responsible for delivery of these services or any liability resulting from the service, from non-delivery or poor delivery of the service. We do not offer any combinations of services as packages and it is your ultimately responsibility to make sure all elements of your event are organised and delivered.
Weather
If you book an activity to be done outside, you are responsible for considering how potential weather conditions could affect the event. Rojo&Co can not be held liable for any weather condition affecting your event either directly or indirectly.
Public Liability Insurance
The supplier of an event service will be covered for public liability and any other applicable insurance. Rojo&Co can not be held liable for any damage resulting from an event or from the event, or any part of the event not occurring.
Your Insurance
If you would like event insurance or the personal injury insurance, we advise you contact an appropriate insurance company for advice and a quote.
Transfers
If you wish to transfer your booking to another event, please contact us and we will make every effort to make the changes for you. Please be aware that if your booking is less than 60 days ahead, this may incur a transfer fee which is equal to the cancellation fee.
Substitution
If unforeseen circumstances require, Rojo&Co reserves the right to substitute any detail or the whole of any activity booked. Of course, we will notify you as soon as possible if it is necessary to make any changes to a booking and you will be entitled to a full refund if you are not happy with the details of a substitution.
Cancellation by us
We reserve the right to cancel an event if a supplier is unable to deliver the event or for any other reason. No liability shall be held against Rojo&Co for any losses or damage as a result of any cancellation.
Refunds
We will offer a full refund for any cancellation made by us. We will process your refund within 30 days of any cancellation.
Feedback
We love to hear your feedback about events, if you write a review it can be published on the site to help future event buyers choose even more wisely. Reviews are published be anonymously. We also love to see your videos and pictures, we are quite happy to publish them if you like.
After sales
We love to hear your feedback and would like to hear if there is any way we can improve our service and help you hold great group events whenever you like. We are always ready to discuss how an event has suited your needs and how we can meet your needs event better next time. If you have any ideas of group events you would like to see on the site or you would like us to source, please let us know. Please post any recommendations through our feedback link sent to you before the event.
Complaints
If you have a complaint during the activity, please notify a host or facilitator at the event. If you feel that your complaint has not been handled satisfactorily you should notify somebody at Rojo&Co as soon as possible.
Booking Information / Privacy
We need to take and hold certain information required to deliver your booking, we will only take information which we need for a legitimate purpose. We will only share necessary information to deliver an event with our suppliers. If you require services from trusted third parties we will only share information necessary for those trusted third parties to process an order and deliver services to you.
Publicity
Rojo&Co photographers, videographers or promotional staff may be attend an event and any images or video taken remain the property of Rojo&Co. These images may be used for promotional and marketing purposes. Rojo&Co publicity material may be shown and distributed at the event, please discuss this at the time of booking if you do not want Rojo&Co publicity material to be available.
Marketing
Any activity or special offer advertised on Rojo&Co is subject to availability. All reasonable efforts are made to deliver the activity in accordance with it’s advertising. However, the details of any activity or booking may be changed prior or subsequently to a booking being confirmed. In any case where changes are made to a booking before the booking confirmation there is no contractual liability for Rojo&Co. If changes to a booking are made after the booking confirmation is made, Rojo&Co agrees make all reasonable effort to substitute the activity with a reasonable substitute and the client agrees to accept such reasonable substitute. Any efforts to make a reasonable substitute are subject to any suppliers involved in delivering the activity and also subject to any price differences.

We aim to look after your information securely and will not share any information with third parties unless necessary to provide the service or if you have given permission for us to do so.
We take all necessary and reasonable security precautions, however we cannot guarantee against information being lost or stolen due to a security breach.

Liability
When making a booking with Rojo&Co, the client accepts that Rojo&Co is acting as an agent for the client in making arrangements for the booking and will not be liable for any misrepresentations, negligence, contractual and tortious loss of any kind whatsoever suffered by the client or any due to any act or omission by or on behalf of any third party. In any event Rojo&Co shall not be liable for death or personal injury suffered by the client or its guests arising out of the booking. This limitation of liability shall also extend to any loss or damage sustained by property or belongings of the client or any of the client's guests or for any further costs, demands or expenses incurred or suffered by the client arising out of the booking. Rojo&Co will not be liable for any cancellation of or alteration to the booking or any loss or damage to the client arising out of circumstances beyond its control including but not limited to any act of god, natural disaster or act of terrorism.
Force Majure
Rojo&Co is not liable to customers for any delay in performance or failure of performance of any of its obligations relating to these terms and conditions should the delay or failure be resulting from any act beyond the reasonable control of the seller, including but not limited to; any Act of God and all other force majure possibilities.
Contract and Jurisdiction
Any purchase made through Rojo&Co creates a contract subject to these terms and conditions.
These terms and conditions and any Contract concluded incorporating these terms and conditions shall be governed by English Law and all disputes shall be submitted to the non-exclusive jurisdiction of the English Courts. Rojo&Co and any client hereby submits to the exclusive jurisdiction of the English Courts in all matters regarding the contracts and these Terms and Conditions.
